Job Opportunity: Office Administrator

TRIDEC, the local economic development organization, has an opening for an Office Administrator.  This position provides a wide range of highly skilled administrative support to the President, Vice President for Federal Programs, the Board of Directors, and other departments as required.  Must be a team player and able to multi-task in an often fast-paced environment.

Two years of college level business courses is preferred with proficiency in Microsoft Office Suite and Social Media.  Two years of progressively responsible administrative work experience or two years providing direct management-level support.

This is a full-time (Mon-Fri 8-5) exempt position with benefits.  The salary is dependent on qualifications and experience.  Qualified applicant should send resume, cover letter with salary expectation to Laura Warr, by Noon on Thursday, March 15.

Job Duties and Responsibilities:

  • Support to the President/CEO: Prepares and edits letters and reports, answers calls, directs messages, maintains an efficient filing system, schedules appointments and organizes all aspects of meeting set-up.  Communicates president’s direction to board members and staff as necessary, and monitors follow-up activities.
  • Support to the Vice President for Federal Programs: Prepares and edits letters as requested, schedules appointments and organizes meetings.  Other administrative duties and tasks as required.
  • Travel Arrangements: Manages travel arrangements for the President/CEO, Vice President for Federal Programs, and other staff as requested; including hotel reservations, airline tickets, car rentals, meeting and/or training registrations and other arrangements as needed.  Maintains a record of all travel arrangements.
  • Board agenda preparation: Prepares a professional board packet by coordinating agenda items and attachments from the President and various departments.
  • Board Meetings: Schedules, notifies board members, attends and records minutes for Board of Directors and Executive Committee meetings. Prepares professional permanent records (minutes, resolutions, and motions).
  • Meeting set-up: Schedules meetings and meeting rooms and arranges for any special set-up, audio/visual equipment, or other meeting infrastructure as needed. Procures, copies or otherwise ensures an adequate supply of meeting materials.  Arranges for catering when required.
  • Provides administrative support to the Tri-Cities Asset Reinvestment Company (TARC). Sends out meeting notices, attends meetings, takes minutes, makes sure a presentation is made to the TRIDEC Board annually, and that the TRIDEC Board approves the required new board members once a year.
  • Oversees that the contractual agreements with the cities, ports, counties, PUD’s are renewed each year or as needed.
  • Oversees that TRIDEC’s liability and building insurance policies are maintained and current.
  • Makes purchases for the organization as needed or required with assistance from the Receptionist – office supplies, meeting materials, travel, training registrations, and catering.
  • Manages and retains all appropriate Board, Executive Committee, and President’s documents for retrieval and archives.
  • Understands and follows the organizations expectations regarding professional appearance, attendance, punctuality, scheduled and unscheduled time off, and appropriate use of time, equipment and resources. Maintains a record of attendance and availability necessary to provide adequate support.
  • Maintains absolute confidentiality.
  • Interacts appropriately and positively with the President, VP for Federal Programs, Board members and coworkers, clients and members of the business community to effectively accomplish the work of the organization.
  • Acts as liaison to the building LLC and takes the responsibility of overseeing the building maintenance on a rotational basis with the other partners, including LLC meeting coordination and minutes.
  • Other duties as assigned.
  • Works under the general supervision and direction of the President/CEO.
